User Profiles
Find a user, edit their details, and manage their access cards and project profiles.
Finding a User
Go to Admin → Users. The search box at the top matches on:
- First or last name
- Email address
- Phone number
- Access card number — scan or type a card to find who it belongs to
Use Filters for narrower searches by role, project, contractor, contractor code, or access card number.
The list shows each user's role, project and contractor, and their access card numbers, so you usually do not need to open anything to check a card.
Editing a User
Click Edit on the user's row. A panel slides in from the right without leaving the list, with three tabs:
- Details — first name, last name, email, phone, and the active/inactive switch
- Profiles & Cards — every profile this user has in the company, with its role, project, contractor, and access cards
- Photos — how many face photos are enrolled, with a link to manage them
Press Save Changes on the Details tab. Close the panel with the × button, by clicking outside it, or with the Escape key. Your search and filters stay exactly as they were.
Managing Access Cards
Cards can be managed from the edit panel or from the user's profiles page:
- Add — type or scan the number into the card field and press Enter. USB card readers type the number for you.
- Edit — click the pencil on a card chip in the edit panel, change the number, and save.
- Remove — click the × on a card chip. The card stops working immediately.
A card number can only be used once per project. If the number is already assigned to someone on that project, you will see an error and nothing is saved.
Adding Another Profile
A user needs a separate profile for each project they work on. To add one, open the user's profiles page (Profiles on their row) and click Add Profile:
- Pick the Role
- Pick the Project and Contractor
- Optionally enter an Access Card number
- Click Save Profile
Choosing the Company Admin role creates a company-wide profile instead, which applies to every project. A user can only have one profile per project and one company-wide profile.
Roles & Permissions
Permissions belong to a profile, not the user. Use Edit Permissions next to a profile in the edit panel or on the profiles page.
Deactivating Users
To remove access without deleting records, switch the user to Inactive on the Details tab instead of deleting them. Their history and logs are kept.
Notes
The profiles page also has a Notes section for recording anything the team should know about the user.
