Managing Notes (Admin)
Review, filter, and manage notes across your company's projects.
Notes List
Access the notes list from Admin → Data → Notes. The table displays all notes for the current date across all projects in your company.
Each row shows:
- ID: Unique note identifier
- Date: The date the note was written for
- Project: Project number and name
- Location: Associated location, if any
- User: Who created the note
- Note: Preview of the note body
- Files: Number of attached files
- Status: Export status indicator
Filtering Notes
Use the filter bar to narrow results:
- Project: Show notes from a specific project
- User: Filter by the note author
- Location: Filter by project location
- Date Range: View notes across a date range instead of a single day
Use the date navigation arrows to move between days, or apply a date range filter for broader views.
Note Details
Click the eye icon on any note to view its full details. The details page has three tabs:
Note Information
Shows all metadata: date, project, location, user, contractor, status, external ID, and the full note content. If there's a sync error, it is displayed in a red alert box.
Attachments
Lists all files attached to the note with:
- File name and title
- Status: Shows whether the file has been uploaded to Procore — Synced (green), Failed (red), or Pending (yellow)
- External ID: The Procore upload UUID, if exported
- Download: Click to download the file directly
Notifications & API Requests
Shows the full export history including API request/response details for troubleshooting sync issues.
Syncing Notes to Procore
Notes are automatically exported when created if Procore export is enabled for your company. You can also manually sync a note:
- Find the note in the list
- Click the sync icon (rotating arrows)
- The note and its attached files will be sent to Procore
How file sync works: When a note is exported, each attached file is first uploaded to Procore's storage service and receives a unique ID. These IDs are then included in the note export so the files appear as attachments on the Procore daily log note.
Troubleshooting: If a note shows "Failed" status, check the Notifications tab on the note details page for the specific API error. Common issues include missing project mapping in Procore or expired authentication tokens.
