Printing QR Codes
QR codes are the primary method for workers to clock in and out at job sites. This guide shows you how to generate and print them.
Why QR Codes?
QR codes make time tracking quick and contactless. Workers simply scan the code with their smartphone camera to access the time tracking interface for that specific location.
Method 1: Individual QR Codes
To print a QR code for a single location:
- Navigate to Admin → Locations
- Find the location you need
- Click the "QR Code" button in the Actions column
- The QR code page displays:
- Project name
- Location name
- Large, scannable QR code
- Click "Print QR Code" button
- Print using your browser's print dialog
Method 2: Bulk QR Code Printing
To print QR codes for all locations at once:
- Go to Admin → Locations
- Click "Show All QR Codes" button (below the filters)
- The page displays all locations in a sidebar
- Click any location to view its QR code
- Use the "Print QR Code" button to print the currently selected one
- Or use your browser's print function to print the displayed code
Tip: The sidebar on the "Show All QR Codes" page is hidden when printing, so only the QR code and location details appear on the printed page.
QR Code Information
Each QR code page displays:
- Project Number: Visible on screen only (hidden when printing)
- Project Name: Large, bold text for easy identification
- Location Name: Clear location identifier
- QR Code: Large, high-quality code for easy scanning
Best Practices for Posting QR Codes
- Height: Post at eye level for easy scanning
- Protection: Laminate codes to protect from weather and wear
- Lighting: Ensure adequate lighting for phone cameras
- Multiple Copies: Print extras in case of damage
- Visibility: Place where workers will see them when arriving
- Size: Print large enough to scan from 1-2 feet away
Important: Keep QR codes secure. Anyone with access to the QR code can clock in/out at that location.
Cloud Face Scan QR Code
If your kiosk has face recognition enabled, a separate Cloud Face Scan QR code is available in the kiosk admin panel. Workers scan this code with their phone to clock in/out using face recognition instead of a barcode.
- Open the kiosk admin panel (click "Admin" on the scanner page)
- Navigate to the Settings tab
- Scroll to the "Cloud Face Scan" section
- The QR code links to the cloud face scan page for this location
- Use "Copy URL" to share the link, or print the QR code
Note: Workers must have their face photos uploaded and encoded before they can use the Cloud Face Scan feature. Upload face photos through the Face Upload page.
Worker Enrollment QR Code
A dedicated Worker Enrollment QR code lets new workers enroll on a project (complete their details, worker profile, face photo, safety orientation, and acknowledgement) without opening the time tracking app.
- Navigate to Admin → Locations
- Click the "QR Code" button for the location
- Select "Worker Enrollment" in the QR Code Type sidebar
- Print or share the displayed QR code
You can also open the enrollment page directly with the "Worker Enrollment" button in the Actions column of the locations list.
Note: Workers who scan the enrollment code are always enrolled with the Worker role. If the "Require Face Photo" setting (Settings → Project Onboarding) is enabled, they must add a face photo before they can complete enrollment. Workers who are already enrolled on the project see an "Already Enrolled" message instead.
Testing QR Codes
Before posting, test each QR code:
- Open your smartphone camera app
- Point it at the QR code
- Tap the notification that appears
- Verify it opens the correct time tracking page
- Check that project and location names are correct
