Managing Roles & Permissions

Control what users can see and do in the system.

Default Roles

  • Super Admin: Full system access
  • Admin: Company-level management
  • Manager: Day-to-day site administration — see below
  • Project Manager: Manage assigned projects
  • Worker: Clock in/out, view own time
  • Contractor: Limited worker access

The Manager Role

Every company has a built-in Manager role for staff who run the site day to day but should not be able to reshape a project. It is the right role for a dedicated data-entry user — an office administrator enrolling workers from a laptop, for example — instead of handing out full Admin access.

A Manager can:

  • Open the admin panel and the Enrollment Kiosk
  • View, add and edit users and their profiles
  • View and correct entry logs, manpower logs, notes, accidents and the presence registry
  • View visitors and edit visitor records, add photos, run spot checks and receive project notifications
  • View projects, locations, contractors, trades, training levels, safety orientations, daily uploads and company settings — read-only

A Manager cannot:

  • Create, edit or delete projects, locations or trades
  • Delete anything — users, profiles, logs, notes, accidents, photos or visitors
  • Change company details, company settings, training levels or safety orientations
  • Manage roles and permissions, or see anything under billing
  • Create, edit or delete daily uploads, which drive the Procore exports

The Manager role is a starting point, not a fixed one. Each company owns its own copy, so you can add or remove permissions under Admin → Roles without affecting any other company.

Creating Custom Roles

  1. Go to Admin → Roles
  2. Click "Create Role"
  3. Name the role
  4. Select permissions
  5. Save
