Billing Overview
ADRO charges companies a monthly fee for each active project that had activity in the previous month.
How Billing Works
On the 1st of each month at 2:00 AM ET, ADRO automatically generates invoices for companies with billing enabled. The system looks at the previous month's activity to determine which projects are billable.
What Counts as Activity
A project is considered active if it had any of the following during the billing period:
- Entry Logs — Worker check-ins and time tracking entries
- Manpower Logs — Daily workforce and hours reports
- Daily Uploads — Files and documents uploaded to the project
- Notes — Daily notes created for the project
- Accidents — Accident reports filed for the project
Test Projects Are Excluded
Projects marked as test projects (is_test = true) are never included in billing, regardless of activity.
Billing Module
Billing is a per-company module that is disabled by default. A Super Admin must enable the billing module for a company before any billing features become visible. Once enabled, users with the view billing permission can see billing pages in the sidebar under the "Billing" group.
Billing Configuration (Super Admin Only)
Super Admins configure billing for each company through Billing Settings in the Super Admin section of the sidebar. Settings include:
- Default Monthly Fee per Project — The dollar amount charged per active project per month
- Billing Enabled — Toggle to activate/deactivate billing for the company
- Auto-Payment Enabled — When on, invoices are automatically charged to the company's saved card
- Payment Grace Days — Number of days after invoice generation before overdue notifications begin (default: 13)
Invoice Number Format
Invoices use the format INV-{company_id}-{YYYYMM}-{sequence}. For example: INV-3-202602-01 for the first invoice of company 3 for February 2026.
Billing Tracking
The Billing Tracking page shows a preview of what the next invoice would look like. Select a month to see which projects had activity and the estimated total. This is useful for companies to understand their upcoming charges before the invoice is generated.
Permissions
- view billing — Access Billing Tracking, Invoices list, and Payment History
- manage billing — Access Payment Configuration (add/remove payment methods)
- manage billing settings — Reserved for Super Admins to configure per-company billing
By default, Company Admin role receives view billing and manage billing permissions.
